UPLOAD PREFERRED PORTFOLIO UTILITY

This document outlines the process for using the Upload Preferred Portfolio Utility as part of PlanPlus Planit. You must create a Comma Delimited (CSV) file that contains the desired data, to be uploaded. Once the CSV file has successfully been created, it is a simple process of following the on-screen instructions to upload the file into the system.


Creating the CSV File

In order for the Preferred Portfolio Utility to accept the new data, the CSV file must be created exactly as documented. The following table provides summary specifications of the fields that the CSV must contain. Each field corresponds to a column in a spreadsheet and are in the order they should appear from left to right.

Key Points From Table

Line Type - This column is used to represent data lines. Every line in this column that is not a header, must contain the characters “DTL”. A header is not necessary.

Portfolio ID - This column is used to group the portfolios. To characterize a product as part of a portfolio, the same identifying characters must be used. For example, Portfolio One could identify all of its products by labeling the Portfolio ID as “1” for each product.

Description - The name of the portfolio. Example are “Conservative Portfolio” or “Aggressive Growth Fund”. The description should be identical for all lines containing the same Portfolio ID.

Country - The country is used represent the currency that the products are priced in. Use the 3-digit ISO standard for the applicable country.

Product Code - Each product has a unique product code and must be exact. These can be looked up in the Product Master under Table Administration.

Percentage - The weighting of each product within the portfolio. The sum of each product with matching Portfolio ID must be 100 or the upload will fail. The percentages must be entered as integers as opposed to decimals.

Please Note: When a new CSV file is successfully uploaded, any existing Portfolio with the same description will be completely replaced.


Instructions

Step 1: Open a new file in your choice of spreadsheet software.

Step 2: Enter the desired data according to the above specifications. Below is an example of a correctly constructed file containing two portfolios.

Step 3: Once the file is ready click File -> Save As.

Step 4: In the ‘Save as type’ drop-box, change the file type to (CSV) Comma delimited. Enter a file name, chose your desired save location and click save.

Now that the file has been created you can upload the data into the system with the utility within Planit.

Upload the File

Step 1: From the main screen in PlanPlus Planit, under Administration click ‘Preferred Portfolio’.

Step 2: You will be taken to the following screen. Click ‘Upload File’.

Step 3: You should now arrive at the Upload Preferred Portfolio Screen. Choose the desired planning level. Depending on the user’s access level more options will be available that include: Advisor; Branch; Region; Corporate. If the portfolio is uploaded with the Advisor setting, the portfolio will only be available to that advisor. Likewise, if Corporate is used, the portfolios will be available to all users.

Step 4: Next click ‘Browse’, find the location of your CSV file and click ‘Open’.

Step 5: Finally, click ‘Upload’ to initiate the utility. Once the software has read the file, you will be notified with a message letting you know if the upload was successful, or if there was problem with the file, the message will inform you that the upload failed and attempt to help you determine what the problem was.


Troubleshooting Potential Issues When Using this Feature

The following lists the potential error messages that the upload utility can generate and the corresponding resolutions to the errors.


Error: ”Please select a file to upload”

Resolution: You have attempted to submit a blank file. Click ‘Browse’, select your CSV click ‘Open’ attempt the upload again.


Error: ”Percentages total more than 100.0, changes NOT saved”

Resolution: A portfolio contains weights that do not sum to 100. Check to make sure each portfolio contains the correct products and that each portfolio does in fact sum to 100. Check that you have not entered the percentages in decimal form rather than as an integer.


Error: ”ISO Country Code (3 Characters)”

Resolution: A country code has been incorrectly specified. Check to make sure that the country code is correctly in 3 character ISO standard format and re-submit.


Error: ”File is empty or improperly constructed. Please check the file and re-submit”

Resolution: The upload utility could not determine the exact problem with the file. Check to make sure that each row in your CSV contains all six columns of data.


Error: ”Linked product not found on Line(s):”

Resolution: The product found on the line listed in the error message has an improper product code or the product did not exist in the specified country.


Error: ”Missing Data on Line:”

Resolution: One of the rows in your CSV is missing data. Check the file and re-submit.


Error: ”(No such file or directory)”

Resolution: The setting prefportfolio.path is incorrectly specified in Lookup Parameters. Specify the correct path in Lookup Parameters, prefportfolio.path can be found under system. It is different for site, for ASP it would be ‘/aspfiles/asp/’.
