The Upload 910 screen will allow you to upload an Account Reconciliation File (910-file) to be imported into your account. In order to import client data into your account, you must first have performed the data export process from your client data software (i.e. MFDS, RPM). If you experience difficulties during this export process, please contact the appropriate product vendor.

Please select the text-based file that has your client account data by using the "Browse" button. A choose file window will open and here you will browse to your 910 file, once you have chosen your file, click "Open" on the window. This will bring you back to the 910 upload screen showing you the path to you 910 file. Simply hit "Upload” you will then be presented with a screen telling you if your file has been uploaded successfully.

With the new 910 import process the data is going into a special 910 holding file. The 910 file that a user has uploaded is now sitting in a temporary area on the server’s disk and the import will simply read the records from that file and load them into the 910 holding file. Now you should simply click the “Import” button and the import is complete the following screen is displayed. Clicking the “Complete” button will return the user to the Planit home page.

At this stage the clients in the 910 file are not in PlanPlus Planit yet. There is a new feature on the client search page that allows the user to search for clients in the 910 holding file and select to import them into PlanPlus Planit. This allows the advisor the ability to only bring in the clients they wish to create a plan for.

The client search page is shown below with a new check box, in this example it is labeled as “Search in 910” When you click this checkbox you then can refine your search with a client name and click the “Search” button.

The search is filtered just as the regular search is. When using the “Search in 910” option you will only see your own clients with the 910 holding file under the user’s dealer / rep code combination.

When you click the “Select” link next the client entry, this will begin the process of importing the client and their accounts from the 910 holding file into PlanPlus Planit. If the client is single the next page the user sees will be the standard summary of what was created or updated.

However if there are 2 or more people in the “Family” and they have joint accounts, you will then see the “Client Roots” page. Below is a sample of this page where you can assign the various individuals that are going to be imported to the client, spouse or up to 6 dependants. To assign a root to a family member, select one or multiple roots from the "Unassigned Roots" group and select the "Assign" link to the left of the family member.

The following screenshot shows the client roots page with all the individuals assigned to the appropriate family member sections.

You’ll notice that the unassigned roots window is now collapsed with a message indicating that there are no more roots to be assigned. Clicking the “Continue” button under the collapsed unassigned roots window will start the actual import process and create the client and accounts.

PLEASE NOTE: If a husband and wife just have individual accounts and nothing is joint the 910 import will not bring them into the client roots page. You would have to perform the Marry/Merge process which is found, under the section called “Organizing your Clients”. Also, if there is dependants and they have nothing jointly owned with either the client or the spouse they too will not show up in the client roots page either. When the import completes the user will be shown a summary page with a list of how many people and accounts were created or updated as shown below.

File: 9108.jpg

The client will also be automatically selected. The user can click the “Home” button to go to the Planit home page, which will appear the same as it would had they selected a client from PlanPlus Planit normally. The user can now proceed to perform any normal planning as they would with a client they may have entered manually.

Important note: make sure that the Dealer Rep Code in your 910-file matches your PlanPlus Planit planner ID.

Organizing your Clients

When a husband and wife just have individual accounts and nothing is joint the 910 import will not bring them into the client roots page like you saw on the previous page, this also the same with the dependants. You then need to marry or merge your clients. Because these clients have nothing jointly owned the software does not know that they are within the same family. The following instructions will show you how to do this.

Merging Two Clients without Dependants

Locate one of the two clients you wish to merge, then go to the Personal Information screen. Change the Marital Status to either “Married” or “Common, you will be presented with a message:

File: 9109.jpg File: 91010.jpg

NOTE: The selected clients Marital Status must be set to “Single”, “Widowed” or “Divorced” to continue with the merge. You cannot merge already married clients.

If “Cancel” is clicked, the Personal Information page will refresh and spouse fields will be displayed for entry. You would do this if you were manually going to enter in the new spouse. If “OK” is clicked then the Client Search page should be displayed.

On the Client Search page, enter any criteria to find the client to add as the spouse.

By clicking the “Add” link will merge this client to your chosen client.

Please note: that when a search is performed, only clients who are not married or common law are shown in this list. Also, the currently selected client in whom we are adding the spouse will not be displayed.

Once “Add” has been clicked, the Personal Information page will be displayed with the spouse information:

NOTES: The Marital Status should be set to the choice set and the clients Title, First Name, Last Name, Preferred Name, S.I.N., Sex and Date Of Birth should be displayed on the screen. Also, the Representative Name in the header should now include the spouse’s name.

PLEASE NOTE: The Advisor must update the ACB on assets.

Adding Dependants to Married Clients

Like mentioned earlier if your 910 import has dependants and they are not joint with either the client or the spouse they too will have to be merged into the family.

Select the client that the dependent will be added to. On the “Personal Information” screen under the dependent section, there will be an option called “Add Dependant from Database” button:

File: 91012.jpg

Click “Add dependent from database” the Client Search screen will appear as before when you perform the marry process earlier.

On the Client Search screen find the client file that is to be the dependent. Once located, click the “Add” link. Once again the Personal Information page will be displayed with a message in red indicating the success of the merge. In the dependent section the new dependent should be visible:

Only the Name, Date Of Birth and S.I.N. values are copied. Any accounts and safety deposit box items will also be copied over.

Please note: No address information for the dependent is copied during the merge. Also, it is assumed that the dependent is not already attached to the client file of the family. Even if the S.I.N. values match, the dependent data will not be overwritten with the client being added as a dependent.
